How Jayne Marie Bookkeeping handles personal data for enquiries, onboarding and bookkeeping clients.

Who we are

Jayne Marie Clarke trading as Jayne Marie Bookkeeping provides bookkeeping services to small businesses, sole traders and property-sector clients.

Personal data collected

We may collect names, business names, addresses, email addresses, phone numbers, business records, invoices, receipts, bank transaction information, supplier/customer details, director/PSC details, identity documents for anti-money-laundering checks and payroll/employee information only where that work has been agreed.

Why we use personal data

We use personal data to respond to enquiries, provide bookkeeping services, complete onboarding checks, communicate with clients, meet legal and regulatory obligations, carry out anti-money-laundering checks, manage fees, maintain business records and protect the business if a dispute or legal claim arises.

Lawful basis

The lawful bases may include contract, legal obligation, legitimate interests and consent where consent is genuinely required.

Who we share it with

Information may be shared where necessary with HMRC, Companies House where relevant, cloud bookkeeping software providers, accountants, AML/identity-checking providers, insurers, legal advisers, IT/cloud storage providers and other parties authorised by the client.

How long we keep it

Records are kept only as long as needed for legal, regulatory, tax, insurance and professional reasons. AML records are normally kept for five years after the business relationship ends. Some accounting and tax-related records may need to be kept for longer.

Security

Client information is handled using business systems, password protection, access controls and secure sharing methods where appropriate. Sensitive records such as ID documents, bank statements and payroll data should not be sent through ordinary website forms.

Your rights

Individuals may have rights of access, correction, erasure where legally allowed, restriction, objection, portability where applicable and the right to complain to the Information Commissioner’s Office.
